Who we are

This policy explains how certain members of the Oxford Gene Technology (OGT) Group controls and processes personal data.

Those members are: Oxford Gene Technology IP Limited (company number 03845467); Oxford Gene Technology (Operations) Limited (company number 03845432); Oxford Gene Technology Limited (company number 03043815) and Cytocell Limited (company number 04231155).

What this privacy policy covers

This policy covers how we process personal data, including information related to your use of our website and also if you contact us with a view to doing business with us as a supplier or customer.

 

Personal data we collect and how we use it

General

The personal data we collect depends on the context of your interactions with us and on the choices you make, for example your website privacy settings. We will only use your personal data where we have a valid lawful basis to do so.

We automatically record information in our server logs from your browser, including your IP address, country, and the pages you request.  We use this information to analyse our site's usage in order to improve navigation and offer more popular content.

Informing you about our products and services

We may collect the following personal information when you complete our application/registration and quotation forms, when you request information from us (for example a service request), when you complete an online marketing survey, when you enter promotions, and when we meet you or make contact with you:

  • Name
  • Email address
  • Details of the institution you work for such as name, department and postal address
  • Demographic information such as postcode, preferences and interests that relate to your field of work
  • Other information relevant to customer surveys and/or promotional offers

We keep this information in a database and use it to contact you when we believe we have goods, services or information that will be of interest to you. We may contact you from time to time by email, phone or mail for market research purposes. We also use it to manage your organization’s account with us and to supply goods and services you have requested from us.

Our lawful basis for using personal data in the manner described above is that the data processing is necessary for legitimate business interests pursued by the relevant members of the OGT Group.

Provision of personal information is not a statutory or contractual requirement and you are under no obligation to do so, failing to provide personal data will not lead to any withdrawal or refusal of services.

Managing client accounts

In addition to the data processing described above, if you request products or services from us, we will process the personal data described above and your account and payment information in order to provide you with our products and services.

Our lawful basis for using personal data in this way is that the processing is necessary in order for us to perform our contractual obligations or to take steps in advance of entering into a contract.

Business contacts

If you provide us with personal data and other information with a view to working with us or to providing services to us, then we may hold and use such information for any reasonable purpose that is compatible with the basis upon which it was provided. This may include combining it with other information that we hold, that you provide or which is publicly available.

Our lawful basis for using personal data in this way is that the data processing is necessary for legitimate business interests pursued by the relevant members of the OGT Group.

Prospect identification and market research

We may obtain personal data through online prospect identification and market research. For both of these activities only publicly available information will be used.

If we obtain your personal data through online prospect identification and/or market research we will provide you with privacy information with the exception of instances where this would involve disproportionate effort to the OGT Group.

Sharing personal data

We do not rent or sell or provide your personal data to any other person except as set out below or except as obliged by law or by the order of any competent body.

We may share your personal information with third parties where we are required to do so by law or where necessary in order to provide you with our services or where we have another legitimate interest in doing so that is not overridden by your interests and fundamental rights.

We may also use third party service providers in order to undertake the processing of personal data for us. Where we outsource any task, whether inside or outside of the EEA (e.g. telesales, sales via distributor and mail shots), we oblige the service provider to use your personal data only in accordance with our specific instructions and in compliance with the General Data Protection Regulations (GDPR).  

To the extent reasonably necessary, we may provide your personal data to anyone who buys or offers to buy our business or business assets.

In connection with its lawful processing, any member of the OGT Group covered by this policy may pass your personal data to any other such member Group and from time to time your personal data may also be shared with any other affiliate of Sysmex Corporation, the parent company of the OGT companies.

Retention of personal data

We will only retain your personal information for as long as is necessary to fulfill the purposes we collected it for, which includes satisfying any applicable legal, accounting or reporting obligations.  For example, if you buy products or services from us then we may retain records of those transactions, along with associated information and correspondence, for legal reasons for a period of 6 years beyond the end of our contract with you. 

We will retain your personal data on file whilst there is an ongoing business relationship for such purposes of doing business. Annually we will review its database for instances where a person does not conduct business with us and is inactive (e.g. not opening any email from us for over 12 months), any such personal data will be removed from our database. 

Data transfers outside the EEA

We may transfer the personal information we collect about you to countries outside the EEA in order to perform our contract with you. We will only do so where the country concerned has been deemed by the European Commission to provide an adequate level of protection for your personal data or where other appropriate safeguards are in place.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect and store.

The transmission of information via the internet is not completely secure. Although we will act reasonably to protect your personal information, we cannot guarantee the security of the information transmitted to our site and you acknowledge that any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access or inadvertent disclosure.

In every e-mail/mail (e.g. newsletter, promotional offers, etc.) you receive from OGT we will give you the opportunity to unsubscribe to stop receiving subsequent e-mails/mails.

Your rights as a data subject
